ScanMyGEO ("we," "us," or "our") is operated by Bay Area Systems. This Privacy Policy explains how we collect, use, store, and protect information when you use the ScanMyGEO AI visibility audit tool and related services at scanmygeo.com.

By using ScanMyGEO, you agree to the collection and use of information as described in this policy.

Information We Collect

When you run an AI visibility scan or purchase a Fix Package, we collect the following information:

• Business name — the name of the business you are scanning
• Email address — used to deliver your scan results and any purchased reports
• Industry or business category — used to generate relevant AI search queries
• City or location — used to localize queries for your geographic area
• Website URL (optional) — used for competitor analysis and generating fix recommendations

We do not collect passwords, social security numbers, or other sensitive personal data. ScanMyGEO does not require you to create an account.

How We Use Your Information

We use the information you provide to:

• Generate your AI visibility scan by querying AI engines with searches relevant to your business, industry, and location
• Calculate your AI visibility score and letter grade
• Send your scan results and any purchased Fix Package reports to your email address
• Process payments for paid services (Fix Package, Done-for-You service)
• Improve our scanning algorithms and service quality through aggregated, anonymized usage data

We do not sell, rent, or share your personal information with third parties for marketing purposes.

Third-Party Services

ScanMyGEO relies on the following third-party services to operate:

• Google Gemini API — processes AI search queries to determine your business visibility. Your business name, industry, and city are sent as part of these queries.
• Stripe — processes payments securely. We do not store your credit card information; Stripe handles all payment data under their own privacy policy.
• SMTP2Go — delivers email reports to you. Your email address is shared with SMTP2Go for the purpose of sending your results.
• Cloudflare — hosts our website and provides security and performance services. Cloudflare may collect standard web analytics data such as IP addresses and browser information.

Data Retention

We retain your scan data (business name, industry, city, scan results) for 90 days after your scan is completed. After 90 days, scan data is automatically deleted from our systems.

Payment records and transaction data are retained as required by applicable tax and accounting laws, typically for a period of 7 years.

You may request early deletion of your scan data at any time by contacting us (see below).

Cookies and Tracking

ScanMyGEO uses minimal cookies necessary for site functionality. We do not use third-party advertising trackers. Cloudflare may set security-related cookies to protect against malicious traffic.

Your Rights

You have the right to:

• Access the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data from our systems
• Withdraw consent for future communications

Children's Privacy

ScanMyGEO is a business tool and is not intended for use by children under 13. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of ScanMyGEO after changes constitutes acceptance of the revised policy.
